Parent Agreement

Welcome to the WinCity Travel Program!

Dear Parents and Guardians,

Welcome to WinCity Baseball  Travel Program! We’re excited to have your family as part of this experience. Our goal is to create a competitive and supportive environment where players can grow on and off the field and that only works when coaches, parents, and league leadership are aligned.

This agreement outlines what you can expect from us and what we ask from you in return.

What You Can Expect from the League

A Safe & Supportive Environment: WinCity is committed to a safe and positive setting for all players, where development and sportsmanship come first.

Transparent Communication: The league will communicate clearly about team schedules, tournaments, fundraising events, and other organizational needs.

Tournament & Game Scheduling: WinCity manages scheduling and umpire coordination for all teams. WinCity will provide all schedules promptly allowing your family ample time to coordinate and plan. 

What You Can Expect from Coaches

Player Development: Coaches are expected to provide fair opportunities for all players to compete for positions and grow within their chosen or assigned roles. They’ll offer consistent feedback to support that development.

Fair & Consistent Decisions: Coaches make playing time and lineup decisions based on performance, effort, and team needs, not on outside pressure or favoritism.

Approachability & Communication: Coaches are available to address concerns. While they may not be able to respond immediately, they are expected to reply to questions or concerns within 24 hours with open and respectful dialogue.

What We Expect from Parents

Respect the Role of the Coach: Once a game or practice starts, coaching is left to the coaching staff. This includes decisions about positioning, substitutions, and in-game strategy.

Timely, Direct Communication: If you have a concern or question, we encourage you to speak directly with the coach in a private and respectful manner. Open communication helps prevent small issues from turning into larger frustrations. That said, if emotions are running high (especially right after a game) we ask that you wait at least 24 hours before reaching out. Giving things a little time helps ensure conversations happen with a clear head and a shared focus on solutions.

Support the Team, Not Just the Player: While advocating for your child is natural, we ask that parents view team success as a shared goal. Please avoid venting or speculating with other parents, especially before speaking with the coaching staff.

Social Media: Please do not post negative or disrespectful comments about any players, coaches, parents, or teams on social media (whether they’re part of WinCity or not). We can’t (and won’t try to) control what’s said online, but we strongly discourage any posts that could harm a player’s experience or reflect poorly on the team or organization. Let’s keep the focus on building a positive, respectful community both on and off the field.

Photo & Video Release

By participating in the WinCity Baseball Travel Program, you acknowledge and agree that your child may be photographed or recorded during games, practices, and team events throughout the season. WinCity Baseball has full rights to use these photos and videos for promotional, marketing, and social media purposes without needing further consent or compensation. This includes team highlights, individual player moments, and general media that showcases our program.

Fundraising Participation

Fundraising is a key part of keeping the WinCity program strong and affordable for everyone. The league will host multiple fundraising events each year, and we ask that all families actively participate. These efforts help cover important costs that aren’t included in player dues like practice equipment, coach travel and per diem, and other behind-the-scenes expenses that keep the program running smoothly. By pitching in, you’re helping create a better experience for all our players and keeping the focus where it belongs: on the field.

By paying your dues, you confirm that you’ve read and understand these expectations—and that you’re committed to helping make this season a great experience for your child, their team, and the league as a whole.
